Lync 2013 Licensing Guide - How to licence Lync Server and Client

I receive, especially from Pre-Sales Consultant and Account Manager (Sales), all kind of questions regarding "How do I have to license the Lync" in different scenarios.
 
It is simply done like this, since we only have 4 different type of licenses:
 
Server Licenses:
Available for Frontend Service only (no more Standard or Enterprise License)
 
Client Access Licenses (CALs): 
Three CALs are available
  • Lync Standard CAL (IM, presence),
  • Lync Enterprise CAL (audio, video, web conferencing),
  • Lync Plus CAL (Enterprise voice features)
    Enterprise CALs and Plus CALs are additive to the Standard CAL.
    This means for you, you can combine the following:

    Standard CAL,
    Standard + Enterprise CAL,
    Standard + Plus CAL,
    Standard + Enterprise + Plus CAL
  • CALs are available as either Device CALs or User CALs
    Please consider this wisely, if you chose a Device CAL, but, let say you are login to the PC and have a Mobile, you are already entitled for two (2) Device CALs.
    I recommend Device CAL only if you have shared workspaces, e.g. like shift workers

User Subscription Licenses (USLs):
Three USLs are associated with Office 365 and Lync Online.
  • Plan 1-provides Presence, IM, peer-to-peer VoIP and Video,
  • Plan 2 adds Lync Meetings capability,
  • Plan 3 adds PSTN Access (US and UK), USLs are per user only.

Client License:
  • Lync 2013 client licensed via Office Professional Plus (is also available as a standalone).
  • Lync Windows Mobile 8 client is licensed via Windows Store (FREE)
  • Other mobile clients are available via the relevant platform store. (FREE)
  • Lync Basic 2013 client licensed via download from Microsoft. (FREE)

Back to several deployment scenarios for Server Licensing only!
Since the client licensing depends on when, where and which feature a user have to use.
(one upcoming change should be consider for CALs, if a user should ONLY be invited a Lync Online Conference and he will not participate in Enterprise Voice, he only needs Standard User CAL)

Note:
Since the SBS has an Registrar too, it is not fully clear if the SBS must be licensed or not, actually we read and understood it as described below. A SBA has its own Windows and Lync Server license via an special OEM / Vendor agreement, so if you deploy SBS (Survival Branch Server) you need to have an additional Lync Server license.
The exact terms are: "You need to have a assigned Lync Server license to each Lync Front End Service". The SBS runs a Lync Front End Service (Registrar)


Recommendation:
If possible makes use of SBA instead of an SBS, if you deplyo SBS, consider if you could als deplyo a Standard Edition Server (this depends on Conferencing and related features, as well a USER Data High Availability). Do not assign every user an Enterprise CAL, consider who must be able setting up conferences with more than 2 parties.
Also carefully plan your SQL Server deplyoments since, you are able to spare some costs.

License needed: 1x Lync Server (for 2010, 1x Standard Server)


Example B:
5600 User, pre - HA.
1x Enterprise Edition Server
1x Backend Server (SQL)
1x Director Server
1x Edge Server
2x Mediation Server, one with SIP Trunk, the other with PRI Gateway
6x SBA
4x SBS

License needed: 1+4 = 5x Lync Server  (for 2010: 5x Enterprise Server)+ 1x SQL Standard Server per CPU


Example C:
12000 User, HA.
2x Standard Edition Server (Frontend for Branches)
6x Enterprise Edition Server (2x3 Frontend for Site Resiliency)
4x Edge Server
3x Mediation Server, two with SIP Trunk, the other with PRI Gateway
10x SBS/
10x SBA
1x Monitoring
2x Persistent Chat Frontend Server
2x Persistent Chat Store (SQL)
1x Persistent Chat Compliance Store (SQL)


License needed: 8+10 = 18x Lync Server (for 2010: 2+10 = 12x Standard Edition Server, 6x Enterprise Edition Server,- Persistent Chat was not available), 4x SQL Standard Server (per CPU)

Well, let me explain the last scenario:
We have in sum 2x Standard Edition Server (frontend) and in two datacenter 3 Enterprise Edition Server each, as well the Persistent Chat Server 2x times. this requires also since it is an Frontend Server a dedicated license.
SQL follows the SQL Licensing Guidelines, but for Mirroring Feature, needed for HA, we must deploy SQL Enterprise, therefore I can host other databases e.g. Monitoring also on the same SQL instance.

  2. There is only one edition of server license for Lync 2013 according to http://lync.microsoft.com/en-us/get-lync/Pages/lync-licensing.aspx, “Lync Server 2013 is licensed in one edition for all deployment scenarios”. Standard and Enterprise isn't used any more.

  4. Regarding Audio/ Video Calls in P2P, you only need the Standard CAL License.
    Some new Licensing changes:
    If a user is invited into a Lync Conference (internal) NO Enterprise CAL is required anymore.

  6. Does the new Lync basic client also need a CAL? I know the client is free and you need a valid server license but what about CAL? Is that free for Lync basic?

    1. CAL = Client Access License

      This is a license you need to ACCESS a service, e.g. Lync. in other word, regardless of if you use Basic, Full, Mobile or what every client you need a Lync CAL (Std, Ent or Plus), if you make use of one of the related features/ services if you are an "authenticated user" (register with the fronend service)

    Initiating a voice or video conference is in Enterprise CAL-Also Understood.
    What about Integrating Messaging from a third party (AVAYA), Mobile and single number reach, click to call? Is Plus Cal required?

      IM with AVAYA, only the Std CAL
      Mobile, SNR and C2C require a Plus CAL (due to enterprise voice)
      Also if you enable Remote Call Control, you need an Plus CAL due to this feature is also Enterprise Voice

  9. Hi, I am wondering why SQL Enterprise is required.
    Standard also offers HA (including miroring).
    And standerd supports max 4 sockets or 16 cores.
    That should be sufficient.

      if you are having Common Area Phones, you need a device CAL.
      This is not a dedicated license you can buy. It is the same as a user license, but you assign it as a device CAL in your assessment documentation.

  13. coming back to the last both question:

    Sure, if you have an EA with MSFT and no Assurance, you need to buy new licenses. even with an EA and Assurance, you need to check if Lync was included.

    Regarding to the technical question of RAM requirements.
    there is the official support statements and recommendation. but in your case you are able run all features with 4GB of RAM. Even you can use dynamic memory, even this is not supported in production environments.
    Only with your SIP provider, take care he is supported and certified, else better make use of an translation gateway, e.g. from Ferrari Electronics.

  14. One more question Thomas, We have EA with assurance.
    But we are not upgrading exchange to 2013..
    So Lync 2013 server only, the clients will be 2010. How does this scenario works based on your experiences.
    Will there be any problems if we upgrade exchange from 2010 to 2013 next year.

    this scenario will work and is supported.
    So you can use Lync Client 2010 and Outlook 2010.
    Possible you update the Lync Client Version Policy.
    Else, you have to accept the fact, that you are in this constellation not entitled to make use of the new Lync Client 2013 Features.
    But and e.g. also RCC will work better in this scenario due to some issues in Lync 2013 Client.
    Also Exchange 2010 will work with Lync 2013, also here you can use new features e.g. Unified Contact store or User Pictures, which must be stored in AD or SharePoint, but not in Lync 2013 anymore

      you need a enterprise CAL, this CAL enabled also the dial-in, as well as the dial-out feature. A user who is NOT initiating a conference do not need the enterprise CAL, the Std User CAL is enough.

    3. This is good question. you should check if this users having phone numbers assigned. if so, change this and make sure they are not enterprise voice enabled

    I have Lync 2013 in production network.
    What kind of CAL is required if Lync user transfer incomming call to another user. All users have simply USB device attached in their PC. No extension are configured, for example, transfering call between Lync users within Helpdesk team.

    1. this you have to see what Lync Feature the user is using. If you are also talking about PSTN calls, you need for everyone all three CALs, if you are taking about internal Lync calls, you only need the Std User CAL this is also if he want a call being transferred, but be aware, if you are using enterprise voice features as RGS, you need also all three CALs.

  20. Hi do I need the e-cal or plus-cal to enable users to dial into a multi party conference using PSTN infrastructure?

    I see it explicitly states that for pstn dial out the ecal is required but cant find mention of dial-in.

    1. I asked this question already. Thomas' statement was that either Enterprise or Plus is needed. So if you need Enterprise CAL for other purposes you don't need to purchase Plus for dial-in conferencing. If you have only Plus CAL you don't need to purchase Enterprise for dial-in.

      Additionally I contacted MS support to clarify this matter. The support person however didn't seem as competent as Thomas :-D. However we needed official MS statement for the customer. So after 2 hours conversation I convinced MS that we don't need Plus CAL in addition to Enterprise and we've got this confirmation by mail.

      for PSTN Dial In you do not need to be a Lync User, therefore its logic that you dont need a license for Lync at all.
      The person who will initiated or invite actively people into a conference must have a ENTERPRISE CAL

    I have a question about CALs..If we have a 100 Std CALs and 10 Enterprise CALs so how lync server differentiate these CALs,Can we assign 10 user to enterprise CALs from lync control panel and rest of the 100 users lync server take it default as Std CALs or 100 users assign it Std CALs in lync control panel...

      the differentiation is done ONLY via Conferencing Policies. Lync do not check the "paper" assigned to users. So being compliant requires your documentation efforts.

      you need as authenticated user a STD CAL for participation, a ENT CAL for initiation and no CAL for anonymous join.
      PSTN dialout is also part of the ENT CAL.

      if you install TWO STD Server, than you are only allowed initiate the STD Server, no HA beside a Server Pairing.
      if you install TWO FE as ENT EDT, you can have HA, in both scenarios you must have SQL Server as BACKEND

    1. Hi Brian, if you are Microsoft LAR, you find it in the Licensing Catalog.
      If you are customer, you need to ask your Software distributor. You cannot simply download this client. You can request the license and access will be granted.

      I do my best and help you understanding your requirement.

      It is not so easy to understand, but with in the Microsoft Licensing Guide you find the following additional information:

      To enhance the collaboration experience for users with rights to Lync Server, the following shared features should be considered when considering CALs:

       Attendee and Presenter Experience. Users with a Lync Standard CAL can attend meetings and can be promoted to presenter in conferences initiated by an Enterprise CAL user. In order to have full collaboration capabilities including initiating or scheduling conferences, a user would need both the Standard CAL and Enterprise CAL.

      EXPLAINATION:
      IF you only have the PLUS CAL, you are NOT allowed scheduling conferences. So you can run a conference, if you extend an existing call into a conference.

       Audio Conferencing. Audio Conferencing is a shared feature of both the Enterprise CAL and Plus CAL users. In order to leverage the audio conferencing features such as initiating and scheduling an audio conference, a user will required either the Enterprise or Plus CAL or both CALs.

    2. Hi Thomas. Just to clarify (sorry for the confusiĂ³n). I was talking about "Client Access License Comparison" that you have here in your blog and its the same that appears in License Guide. If you see "Figure 2 Lync Meetings" you have these feature for ENT CAL "Initiate an impromptu multiparty (3+ users) meeting with audio and video (including dial-out to PSTN or PBX users)". If you see Figure 3 " Enterprise Voice" you can see also these feature "Initiate an impromptu multiparty (3+ users) meeting with audio and video (including dial-out to PSTN or PBX users)".... I told to the Customer that for Voice and call to PBX/PSTN they need PLUS CAL but I am confused because ENT/and Plus seems to have the same capability to crĂ©ate and manage multiparty audio (including PBX and PSTN as I mention) and the difference is in the video. If the chart are rigth, thats mean with ENT can my Customer call to a PBX or PSTN?

      Microsoft CAL Licensing is bit difficult to understand.

      In your Case:
      Both the ENT and PLUS all a user an adhoc conference, were he is directly INVITING other Users (Lync) or he DIALS (initiate PSTN Call) other numbers.

      with the PLUS CAL only: He is NOT ALLOWED scheduling meetings e.g. via Outlook or web Scheduler!
      (This means, e.g. the JOIN CONFERENCE Link in an email !)

      Also to make it very clear:
      if you have an ENT CAL, the user is NOT allowed making out going PSTN calls, neither he is allowed receiving PSTN calls.

      the English word impromptu means:
      adhoc, or now, or at this moment, ...

      let me comeback to your question. It is not so simple to answer, but let me try to explain.
      Microsoft Licensing write the following:
      A CAL, either user or device, is necessary if a resource is authenticating e.g. via Active Directory. This means in your case, if your application acts on behalf of a user or device which doesn't have a CAL assigned you will need to apply a new CAL. If you application acts on behalf of a user who is already assigned a user CAL you do not need licensing it again.
      If this application, e.g. informs user, e.g. sending note /IM or making calls to users, this trusted application do not need to be licensed.
      On the other hand, if your application need a Lync Server installed where it is established on, you need to license this server.
      But mostly you make us of the UCMA interface and this don't need a license too.

      I hope this might help you finding the right licensing model.

If we have a Lync Server Enterprise Voice connected to SIP-trunk with 10 DIDs (xxx-xxx-xxxx); how many and type of CALs are needed for 100 device extensions that are going to receove calls only from the outsite and 50 user extension with Enterprise Voice Feature? We need Enterprise Plus for PSTN Dial-out calls?

      1. generally every user/ device in Lync must have a Standard CAL assigned (if the system is registering\ authenticated)
      if I understand it correctly. You have 100 devices registered in Lync and 50 of them are enabled to place / make outside calls.
      If you must have 100 Standard and 100 PLUS CALs.
      If you have 100 phone extension and only 50 device, meaning here is, only 50 user/ AD Accounts or Common Area Phones are concurrently registered.
      You can assign only 50 CAL a Standard and PLUS Call registered as DEVICE CAL.

      is a user is going to ANSWER a PSTN call, you must have a PLUS CAL.
      MSFT License Guide:
      These capabilities include common calling features such as answer, forward, transfer, hold, divert, release, and park, along with Enhanced 9-1-1 calling for North America, support for analog devices and a broad range of both IP and USB user devices from partners.

    1. Hi Dick,

      first important information is: You must have a possibility tracking license usage. This is important for any kind of assessment. Next is you need as well a possibility protecting the license usage, e.g. policies.

      In the licensing guide, no specific timeframe is provided where a license has to be assigned for "whatever" time.
      So you can provide the tracking like user a Jan and Mar and user b Feb and -Apr-Dec.
      So building a license pool for enterprise voice is possible.

    A server license must be assigned to each instance of Lync Front End Server that is being run.

    Definition of a frontend Server, among other things: ...runs web components.
    SBS don't run Web components.
    In Topology builder they must be created in the same way as a SBA, so how should it become a different server from the Lync point of view, as Installation is always based on Topology

    If the frontend service or the registrar would be a criteria for defining a Frontendserver, then directors and SBAs are also Frontend Servers, as they both run Frontendservice and are used as Registrars, too.

      well, the Directors are explicit named as server without a license, the SBA has it's license installed via the OEM partner. If you install your SBS yourself it needs a license assigend

    Is peer-to-peer desktop sharing considered a Standard or an Enterprise license feature? In other words, which license do I need for it? I haven't been able to find a definitive answer on it. Thanks!

      all peer-to-peer communication in Lync/ Skype for Business only required a STD CAL. Desktop Sharing is identically with Video, just making it easier to understand.
      Enterprise CAL are only required for working with conferences. (even not joining them).

    Do I need a Standard CALs if I want to use only the IM feature? I want to setup everything on one server.

    If I use the Terminal Server for Lync 2013 Basic client to access this feature, do I still need STD User CALs?

      presence, IM and P2Pcall/video requires only a STD CAL.
      This is regardless of the client, all user utilizing this feature set are entitled having a assigned STD CAL.

      if the user is disabled in AD, but has an Skype activation, officially you are using SfB/ Lync. meaning you have license still assigned. You need to disable/ delete the user from Skype/Lync.

  34. I have question regarding the Skype for Business Licensing (Lync 2013) .

    Scenario :

    We had sell MS Lync Server quantity (01) and Enterprise CAL’s.

    Customer Requirement :

    Now customer need Lync federation, in order to achieve meetings with different companies users over Lync .

    Question:

    We will deploy Edge server to achieve the above customer requirement , do customer need to purchase any further license of Lync for deployment of Edge Server?

    1. no, there are no license associated with the edge server. each CAL or Online Plan has the right for external communication via federation/ remote usage.

    1. Hi you asked a good question, thank you.

      The answer ist simple. A license for users cannot be installed, it need to be document for further assessments. This is valide for On-Premise.

      License for Online Plans are subject to be activated. In the Tenant Admin Portal, you have to assign a license to a user.
